Position Overview:
We are seeking a motivated and organized Administrative Assistant to join our corporate team. This position plays a vital role in supporting daily operations, coordinating office activities, and handling light accounting tasks. The ideal candidate is detail-oriented, compassionate, and excels at communication, organization, and multitasking in a fast-paced, professional setting.
Key Responsibilities:
- Greet and assist visitors, vendors, and staff with professionalism and warmth
- Answer and direct phone calls; manage incoming mail and office supplies
- Schedule and coordinate appointments, meetings, and internal events
- Maintain and update files and documentation, ensuring accuracy and confidentiality
- Process rent payments and handle minor financial transactions
- Assist with light accounting functions such as invoice processing, account reconciliation, and tracking expenses
- Support various departments with administrative needs and project coordination
- Assist with internal communications and corporate marketing efforts such as newsletters and email updates
- Contribute to a well-organized, efficient, and welcoming office environment
Qualifications:
- High school diploma or equivalent required; additional education in business, office administration, or accounting is a plus
- Previous administrative experience, preferably in a corporate, property management, or real estate environment
- Basic knowledge of accounting practices; experience with bookkeeping or financial recordkeeping preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment
- Strong organizational and time management skills with the ability to prioritize tasks
- Excellent verbal and written communication skills
- Positive, team-oriented attitude and a commitment to providing outstanding support
